Detailed Overview

On a heavily incentivized install, you deliver the rebate as an up-front discount and then wait weeks to be reimbursed. That gap is a loan you are making, and almost nobody puts a number on it. This calculator does, using your own job volume, the dollars you float per job, and how long your programs actually take to pay.

Purpose

Owners track close rate and average ticket but rarely track the money sitting in a utility’s approval queue. That blind spot is how a busy program-heavy shop runs out of cash in peak season. The tool exposes the float directly: the dollars carried at any moment, the reserve needed to carry them safely, and, if you pay a lender to advance the rebate, what that convenience costs on an annualized basis. Seeing the number is what lets an owner price the float into the job or set the reserve before saying yes to more program work.

When and Where to Use It

  • Owner cash planning. Before a rebate-heavy season, size the reserve you must keep untouchable so payroll survives the reimbursement lag.
  • Pricing decisions. Decide whether to build the carrying cost into your quote instead of absorbing it.
  • Evaluating bridge lenders. Convert a flat rebate-advance fee into an annualized rate so you can compare it honestly against a line of credit.
  • Program selection. Compare two incentive programs by reimbursement speed and see the cash difference in dollars.

  • Incentivized jobs per month. Default 6. Jobs where you front the rebate as an up-front discount.
  • Average floated per job ($). Default $15,000. The rebate dollars you deliver and wait to recover on a stacked heat pump install.
  • Weeks to reimbursement. Default 9. Reflects the 60 to 90 day window contractors report in Colorado’s Xcel program.
  • Denial / delay cushion (%). Default 15%. The share of applications kicked back for paperwork or stretched past the expected window.
  • Bridge lender fee (%). Default 10%. What a third party charges to advance the rebate so you get paid at installation.

Math & Logic

  • Float at any moment: (jobs per month / 4.333) x weeks to reimbursement x average float per job. The 4.333 converts monthly volume to a weekly rate so the result reflects every job completed inside the reimbursement window but not yet paid.
  • Minimum reserve: float x (1 + denial/delay cushion). The cushion accounts for applications that get returned or stretch past the window.
  • Bridge cost per job: average float x lender fee.
  • Annualized bridge rate: lender fee x (52 / weeks to reimbursement), a simple annualization. A 10% fee for a 9 week wait works out near 58% a year, several times the low-double-digit cost of a conventional working capital line of credit in 2026.
  • Annual bridge cost: bridge cost per job x jobs per month x 12.

The 9 week default is deliberately calibrated to the reimbursement timelines contractors report in Colorado’s Xcel program rather than the shorter targets some brochures state, because the real number is the one that puts a shop under.

Limitations

  • Steady-state model. The float figure assumes a roughly even monthly job flow. A shop that books all its program work in one spring month carries a higher peak than the average implies, so treat the reserve as a floor.
  • Simple annualization. The annualized rate is a straight-line figure for comparison, not a legally disclosed APR. Rebate-advance products are typically factoring arrangements, which are not required to quote an APR.
  • Program-agnostic. The tool does not know your specific program’s rules, caps, or whether it pays at the point of sale. Programs that reimburse instantly or through the distributor remove the float entirely and should be entered with a very short wait.
  • United States focus. Reimbursement timing, deposit caps, and program design vary by state and utility.
